Cancellation and Refund Policy
Which schedule applies
Courses and trips within Colorado follow the standard schedule below.
Trips outside Colorado, and any trip identified on its trip page as a travel or expedition program, follow the extended schedule in the section further down. These trips require guide travel, lodging, vehicles, permits, and other costs we commit to well in advance and cannot recover.
Booking
All courses and trips are paid in full at booking. Dates are not held without full payment.
If you cancel: Colorado trips
Cancellations must be sent in writing to info@coclimbing.com and take effect the day we receive them.
More than 30 days out: full refund less a non-refundable booking fee of $100 for trips under $1,000, or 10% of the trip cost for trips of $1,000 or more. This fee covers coordination, scheduling, equipment routing, and non-refundable payment processing charges.
Within 30 days: 50% refund. No additional fee.
On or after the start date: no refund.
If you cancel: out-of-state and travel trips
Cancellations must be sent in writing to info@coclimbing.com and take effect the day we receive them.
More than 60 days out: full refund less 10% of the trip cost, or a credit for the full value of your trip.
30 to 60 days out: 50% refund, or a credit worth 65% of the trip cost.
Within 30 days: no refund and no credit.
Transferring your spot. At any point before the trip starts, you may transfer your booking to someone else at no charge, provided they meet the prerequisites and complete all required paperwork before departure. This is often the best option inside 30 days.
Trip insurance is required for out-of-state and travel trips. You will be asked to confirm coverage before departure.
Rescheduling
Colorado trips: more than 30 days out, we will reschedule once at no charge, subject to guide and permit availability. Inside 30 days, a date change is treated as a cancellation.
Out-of-state and travel trips: dates are fixed once travel and lodging are booked and cannot be rescheduled individually. A date change is treated as a cancellation under the schedule above.
No-shows and prerequisites
No-shows receive no refund. Arriving too late for us to safely run the day as planned is a no-show.
You are responsible for meeting the fitness and experience prerequisites listed for your trip. If you arrive unable to meet them, we may decline to run the day and no refund is given.
Once a trip has started
No refunds or credits are given for time not used, for any reason. Guides routinely adjust timing, objectives, and turnaround on the day; this is normal guiding and is not a shortened trip.
We may end a course or trip in progress if conditions turn, if a participant cannot safely continue, or if conduct puts the group at risk. Safety decisions are the guide's and are final. No refund is given.
If we cancel
Colorado trips, for unsafe conditions, weather, access closures, guide illness or injury, or anything else outside our control: we will first try to relocate to another area or adjust the objective. If the trip cannot run at all, you receive a credit for the full value of your trip, or a refund less the booking fee above if you prefer.
We may substitute any qualified guide. A change of guide, objective, or venue is not a cancellation.
Colorado trips, for insufficient party size: full refund with no fee deducted, or a full-value credit.
Out-of-state and travel trips. Objectives, venues, and itineraries on these trips are planned targets, not guarantees. We regularly adjust the objective or relocate to a different area in response to weather, conditions, or access, and we may substitute any qualified guide. A change of objective, venue, or guide is not a cancellation and does not entitle you to a refund or credit.
Each of these trips has a confirmation date, stated on its trip page, at which we commit to travel, lodging, and permit bookings. In the rare case that we cancel a trip outright, you receive a full refund if we cancel before the confirmation date, or a credit for the full value of your trip if we cancel after it.
Groups
On Colorado trips, the booking fee applies per booking, not per person. If your group shrinks but the trip still runs, cancelling participants are refunded under the terms above. Per-person pricing may change if the group drops below a pricing tier; we will tell you before making any adjustment.
Credits
Credits are valid for 24 months from issue and are transferable. Tell us who is using it before they book.
Trip insurance
Trip insurance is required for out-of-state and travel trips, and recommended for any Colorado trip requiring travel or lodging.
